Hello! I am super excited to have you on the team. Please see below for the tasks I except you to take on. I tried to add as much detail as possible on each, but if you have any questions, please bring them to our onboarding call, or shoot me a text on WhatsApp if that’s too far away.
- Review task descriptions
- Set starting weekly cadence
- Walkthrough the CRM
- Make sure contact info and permissions (email, CRM) are correct
Every Sunday morning, I’d like you to send me a WhatsApp message to ask me the following questions:
- Are there are times I’d like to block off on the calendar for deep work or travel? Include a screenshot of my calendar for the upcoming 2 weeks. Use the answers to this in order to line my calendar up for the next 2 weeks.
- What do I plan to do towards each of my short-term and medium-term goals? Use the answers to this in the goal tracking and week in review email (see both below).
- once I have decided to schedule a meeting, I will loop you into an email thread and expect you to find a time with said person, and make sure there is a calendar invite (either that they have sent or that you have sent) with participants, time, and location (actual location or a Zoom link). Meetings will be scheduled according to the weekly plan established during our onboarding call.
- Meetings in my calendar will be color-coded accordingly:
- Yellow: in-person
- Blue: Zoom
I will periodically (probably on a daily basis) forward you emails with information to input into the CRM. We will discuss the mechanics of this during our onboarding call, but the main inputs will be for people and companies.
Occasionally, I will send you a picture of handwritten notes to transcribe into the notes section of a meeting that was in-person.
Before every meeting on my calendar, I’d like the following:
- a new corresponding entry in the CRM with relevant fields filled out: time, people, company, attendees, location, intro source.
After every meeting on my calendar with someone I haven’t met before, I’d like the following:
- a draft email of a thank you note
For my weekly 1:1 meeting with Nitay, I’d like you to compile the following and send it to me in a email the morning of my call with him:
- All the companies I’ve had meetings with since our last call
- All the companies he has handed to the CRM since our last call
- All the portfolio companies that have sent updates since our last call
- every Friday morning, I’d like you to send me a WhatsApp message asking about each of the items I listed as ‘what do I plan to do towards each of my short-term and medium-term goals.’ I will reply with some text and a score for each. You’ll use these for the week in review email (see below)
Every Friday evening, I’d like you to send me an email titled ‘Farouk’s workweek in review’ with the following information:
- How many meetings I had (and how many were in person vs. on Zoom)
- How many meetings I had with VCs vs. founders
- How many meetings I had with new people vs. people I already knew
- A list of all the new people I met
- A list of all the new companies I met
- Progress bars on these quotas:
- People met who are in the MENA region
- People met who are in California
- People met who are in Israel
- Number of early-stage VCs met
- Number of Series A and B VCs met
- My score on short and medium term goals.
- Relationship management: I will maintain an internal record of how often I’d like to keep in touch with various individuals. This will be stored in the CRM. I’d like you to check this once a week and send me the names of all the individuals who are 2 weeks away from hitting that time limit, but aren’t scheduled for another meeting. For every one that I confirm, I’d like you to draft an email asking to catch up.
